Recipients come into a Sequence with the variable values you gave them at the time. If a value was wrong, or a stage now uses a variable they never had, you can change it without removing and re-adding anyone. The new value is used from their next stage on.
Beta: Editing recipient variables is part of the Sequences beta. Once your workspace is in the beta, turn on Sequences Redesign in Mixmax Labs. Your admin can switch it on for everyone or leave it up to each person.
Edit variables in a table
Open your Sequence in the new editor and go to the Recipients tab.
Click Edit recipient variables > Edit in a table.
Each recipient is a row and each variable a column. Type the new values in or upload a CSV file.
Click Save changes.
Missing values are marked, and the column header shows how many are missing. Turn on Only recipients missing data to narrow the list to those recipients. Use the search box to find someone by name or email.
Update from a CSV
If you'd rather fix values in bulk, upload a CSV.
On the Recipients tab, click Edit recipient variables > Update from a CSV. You'll find the same button inside the table.
Drop in a CSV with an Email column. Mixmax matches each row to a recipient by email and updates every other column whose name matches a variable. Columns that don't match a variable are ignored, and so are rows that don't match anyone in the Sequence.
Check the match summary, then click Update number recipients. If you opened the dialog from inside the table, the values land in the table for you to review before you click Save changes.
Values in the file overwrite the recipients' current values. Blank cells leave a value as it is, and nobody is added to or removed from the Sequence.
What changes when you save
The new values are used from each recipient's next stage. Anything already sent stays as it was.
Recipients who have finished or exited the Sequence aren't listed, since nothing more will send to them.
Only the person who added a recipient, or an admin, can edit that recipient's values. Other rows are read-only.
Each save is recorded on the Sequence's History tab, with the variable name and how many recipients were updated. Values are never shown there.
Recipients paused for missing data
If a stage uses a variable with no fallback, like {{phone}} rather than {{phone | your number}}, and a recipient has no value for it, Mixmax pauses them when they reach that stage instead of sending it with a blank. The Recipients tab shows a banner with how many recipients are missing data, their status says which variable and which stage, and once they reach the stage it changes to Paused: missing data.
To fix it, click Fill in variables in the banner. It opens the table filtered to the recipients who are missing something. Once a paused recipient has everything their stage needs, they resume on their own and the banner clears.
To send the stage without the value instead, click Resolve… on the recipient and choose Resume anyway. That stage goes out with the variable blank, and later stages are still checked.
Adding a fallback to the variable in the stage, like {{phone | your number}}, means nobody pauses for it. Recipients already paused stay paused until you resume them.
Use it from your AI assistant
If you've connected Claude or another AI assistant to Mixmax through the Mixmax MCP, it can see which recipients are missing a value and fill values in for you. Filling a blank happens right away. Replacing a value that's already set is confirmed with you first, and your assistant never clears a value.
For example:
"Who in my Webinar Invite sequence is missing a phone number?"
"Set the company for [email protected] in Webinar Invite to Acme."
"Fill in the phone numbers for these three recipients in Webinar Invite: ..."
FAQ
Can I clear a value?
In the table, yes: delete the value and save, and the recipient no longer has that variable.
Will this change an email that's already been sent?
No. Sent emails and completed tasks keep what they had. The new value is used from the recipient's next stage.
Does this change the contact or my CRM?
No. It changes the values this Sequence holds for the recipient, nothing else.
Why didn't a recipient resume after I filled in their value?
Either you paused them yourself, in which case Mixmax leaves that pause in place and you resume them when you're ready, or you've reached your active recipient limit. The save tells you when someone stays paused for that reason.
Which variables count as missing?
A variable written plainly in a stage, with no fallback and outside any Liquid if block. Variables with a fallback, {{first name}} and {{name}} when the recipient has a name, and the variables Mixmax fills in itself never pause anyone.
