How Mixmax syncs Contacts data with Salesforce

This article describes how Mixmax Contacts are updated with relevant data from Salesforce Leads/Contacts.

Mixmax ensures your Contacts stay relevant by regularly updating them with data from their corresponding Salesforce Leads/Contacts records. It's a convenient way to keep all your contact information up-to-date without manual updates across multiple platforms.

Syncing Mixmax Contacts with Salesforce Contacts/Leads

The cloud icon next to a Mixmax contact indicates that the contact has a corresponding Salesforce Contact/Lead.

A Mixmax contact is automatically linked with the Salesforce Contact/Lead (with the same email address) when you add:

  • A new Salesforce Contact/Lead with the same email address as an existing Mixmax contact (which isn't connected to any other Salesforce Contact/Lead yet) or

  • A new Mixmax contact with the same email address as an existing Salesforce record.

Any updates you make to the corresponding Salesforce Contact/Lead data will also reflect on the connected Mixmax contact.

Example:

  1. You add a Mixmax contact first and then a Salesforce Lead with the same email, including values for Name and Company. β†’ The corresponding Mixmax contact will be updated with the same Name and Company details.

  2. Now, you have an existing Mixmax contact and a Salesforce Lead with the same email address. You update the Lead details in Salesforce (e.g., Company changed, Title value added, etc.). β†’ The Mixmax contact will be updated with the same details.

  3. Next, you transition the Salesforce Lead to Salesforce Contact, adding a new value for the Account and Title. β†’ The Mixmax contact remains connected to the Salesforce Contact and will be updated with the new details.

  4. Later, you delete the Salesforce Contact connected to the Mixmax contact. β†’ The Mixmax contact will remain on your Contacts page. However, the cloud icon next to it will be removed, indicating it is no longer connected to Salesforce.

In case duplicate Salesforce Contacts/Leads exist (with the same email address), here is how they are linked to Mixmax Contacts:

  • If there is both a Salesforce Contact and a Salesforce Lead, the Salesforce Contact will be linked to the corresponding Mixmax contact.

    • If there are multiple Salesforce Contacts, the latest modified Contact will be linked to the Mixmax contact. So, you will see the Name, Title, and Account from the latest modified Contact record in Salesforce on the Mixmax Contacts page and the Sidebar.

Contacts data syncing frequency

Mixmax updates your contacts with the latest Salesforce information every day at 10 pm PST (7 am CET), as long as there is a corresponding Salesforce Lead/Contact with the same email address.

Keep in mind that if the Salesforce Sync User gets disconnected, all data syncing between Mixmax Contacts and Salesforce will stop. To resume data syncing, reconnect Sync User.
