Connect to Salesforce

Here are some common resources to help you get started using Mixmax with Salesforce!

You have two options for connecting Mixmax to Salesforce: Connect directly to Salesforce using Salesforce's API, or automatically Bcc Salesforce each time you send an email. Here's what you get with each type of integration:

Connect directly to the Salesforce API

  • Log outbound emails to Salesforce
  • Log recipients' opens, clicks, downloads, replies, and meeting confirmations to Salesforce
  • Log calendar events and inbound emails to Salesforce
  • See, edit, and create Salesforce records in Gmail using the Salesforce sidebar
  • Create a task in Salesforce using the Salesforce sidebar
  • Use Salesforce fields as variables in your Mixmax templates

Connect directly to the Salesforce API

On the Growth and Enterprise plans you can connect Mixmax directly to Salesforce using the Salesforce API. This is the best option, because both outgoing emails and your recipients' opens, clicks, downloads and replies are logged in Salesforce. They will appear in the activity history of the corresponding contact, lead, or opportunity. The activity includes the subject line and, for sequences, the sequence name and stage number. This enables you to analyze full attribution of the effectiveness of your outbound campaigns. For more on how activities are logged, see  Syncing to Salesforce.

Note that to connect to the Salesforce API your Salesforce Edition must include API access. This  Salesforce help article has a list of the editions for which API access is enabled by default. If you have Salesforce Enterprise, you're set. If you have Salesforce Professional, you'll need API access as an add-on. accounts do not include the necessary API permissions.   

Mixmax does not require any custom objects or custom fields in order to connect to Salesforce. 

To connect to the Salesforce API, click  Mixmax in the left column in Gmail or Inbox to open Settings. Scroll down to the bottom and see integrations. Click Connect my Salesforce account. You'll be prompted to log in to Salesforce.

You can choose to log opens, clicks, and downloads to Salesforce. To turn off logging these events to Salesforce, go to the  CRMs and Team Live Feed section of your Settings in the Mixmax web app. Turn off logging these events by un-checking the box next to each event type:

Note: If an email address is not associated with a record in Salesforce the email will still be logged — a task will be created in your Unresolved Items. 


You can choose whether to sync to Opportunities only when you're the owner of an Opportunity. To sync data to all Opportunities, regardless of whether you are the owner, un-check the box next to Only sync to Opportunities when I'm the owner.  

Check  Sync to all Opportunities associated with the Account I’m emailing if you would like to sync Mixmax activity to all opportunities associated with the account. If this is unchecked, you’ll only sync to Opportunities if the recipient is listed as a Contact role under the Opportunity.

The Sync to Opportunities that are Closed option allows you to sync Mixmax events to opportunities that have been marked as closed.

Assignment Rules

Mixmax has the ability to set whether Salesforce assignment rules run on leads that are created or updated by Mixmax. Use the  Run default assignment rule when creating or updating leads setting to enable/disable this. 

Auto-Bcc to Salesforce

For users on the Small Business plan and above, you can Automatically Bcc Salesforce. If you automatically Bcc your Salesforce account, your outgoing emails will be logged with the corresponding contact in Salesforce. However, their opens, clicks, and downloads will not be logged in their activity history. To set up auto-Bcc, paste your Bcc email address under Auto-Bcc:

To find your Salesforce BCC address, first you will need to make sure that Email to Salesforce is enabled:

  • Click Setup at the top of Salesforce.
  • Go to Email administration, followed by Email to Salesforce, then place a check mark next to Active.

You can then find your Salesforce Bcc address in Salesforce: 

Specify which emails to log to Salesforce

You can specify email domains and email addresses to exclude from being logged in your CRM. You may want to exclude your company's email domain, to avoid logging internal emails to Salesforce. Or you may want to exclude the email addresses of friends who you email from your work account. Note that if an email address is not associated with a record in Salesforce the email will still be logged — a task will be created in your Unresolved Items. 

You can also exclude a particular email from being logged to Salesforce by clicking the Sync button on the bottom bar of the compose window — un-check the box next to Log to Salesforce:

Manually Log inbound emails to Salesforce

To manually log an inbound email to Salesforce, click the Log to Salesforce button in the top right corner of the email:

You can see the Salesforce Sidebar if you're on the  Growth or Enterprise plan. Click the Mixmax icon in the sidebar panel to expand the sidebar: 

If you're viewing an email from a person for whom you have a record in Salesforce, you can see and edit their record in the sidebar. If there is no record associated with that email address, you can create a record. Check out this video showing  how to create a contact in Salesforce

If a Salesforce record already exists, you can view and edit any field. Custom fields appear in the sidebar if they are required. You can also see the Activity History for each contact - so you'll have context on the emails you've exchanged. 

If you are viewing an email with multiple recipients, you can see the Salesforce record for each person in the conversation by clicking each email address in turn.

Manage tasks in the Salesforce Sidebar

Instead of going to Salesforce, you can create, edit, and complete tasks right in the Mixmax sidebar.

Use Salesforce variables in your templates

You can use Salesforce fields as variables in your Mixmax templates. In any template, click {{ }} in the bottom toolbar or type {{, and a menu with all your Salesforce fields will appear. No more hunting in Salesforce for field names. When you insert the template into a message, we'll automatically search Salesforce and fill in each variable if we find a match. Be sure to add the recipient to the To field before you add the template! Here's more on  how to use Templates.

Send a sequence directly from Salesforce

You can quickly add a Salesforce list to a sequence - directly from Salesforce! Open up a list of contacts are leads. Click the Add to Mixmax Sequence button to add the entire list to a sequence, or click the boxes next to each contact or lead to hand-pick your recipients before adding them to your sequence.

You can also add an individual recipient to a sequence. Open up any Salesforce record, and click the email address - this will launch a Mixmax compose window. Then you can  add a recipient to a sequence from the compose window.
