Mixmax logs the emails you send with Mixmax and the replies to them, along with their engagement, meetings booked through Mixmax, and your Tasks. Your team sees this activity on the related Lead, Contact, Opportunity, or Account in Salesforce.
If your Salesforce org also uses Einstein Activity Capture (EAC), Salesforce's own email and calendar capture, this article explains how to set things up so each email is logged only once.
What Mixmax logs to Salesforce
Mixmax logs the following activity to the related Lead, Contact, Opportunity, or Account:
Emails you send with Mixmax, and the replies to them.
Engagement on your emails: opens, clicks, downloads, replies from recipients, and bounces.
Sequence details: for emails sent from a Sequence, the Task subject includes the Sequence name and stage, for example
Sent (New) [Sequence name (# stage)]: {subject}. Engagement Tasks include them too, for exampleOpened [Sequence name (# stage)]: {subject}.Meetings booked through Mixmax, including a
Meeting ConfirmedorMeeting CanceledTask.Mixmax Tasks: calls, to-dos, and LinkedIn steps.
Meeting Copilot notes: meeting summaries, and full transcripts if your admin turns them on, logged as notes on the Account.
To see how each activity appears in Salesforce, see Syncing to Salesforce.
Report on Mixmax activity in Salesforce
The Mixmax Activity Date/Time field records exactly when each activity happened, so your reports and dashboards use the right timestamps. It's included in Mixmax Insights, or your Salesforce admin can create it manually.
With Rules, you can write the Sequence name and sender to fields on the Lead or Contact. See Tracking Mixmax sequences when viewing Contacts and Leads in Salesforce.
Choose what Mixmax logs
Workspace admins choose which activities Mixmax logs for each Role in Admin Center > Roles, on the Salesforce tab. They can also exclude domains and email addresses on the Exclusions tab, and review every sync attempt in the activity log. To learn more, see Workspace Admin: Configuring the Salesforce integration for your Workspace.
If your Salesforce org uses Einstein Activity Capture
Einstein Activity Capture captures emails and calendar events from a user's mailbox and adds them to related Salesforce records.
With Salesforce's Sync Email as Salesforce Activity update, each email that EAC captures is saved in Salesforce as a Task and an Email Message record. Orgs that set up EAC before Summer '25 have to move to it. If an org doesn't move by its date, Salesforce moves it automatically, and the move can't be undone. To learn more, see Salesforce's guides Update and Migrate to Sync Email as Salesforce Activity and Considerations for Sync Email as Salesforce Activity.
When Mixmax and EAC both log a user's email, the emails that user sends with Mixmax, and the replies to them, are logged twice. To avoid this, choose which one logs the emails Mixmax sends.
Let Mixmax log the emails
Mixmax logs these emails along with the engagement and Sequence details above. To use this setup, turn off EAC email capture for users who log activity with Mixmax. EAC then stops logging those users' emails, including emails they send without Mixmax.
Your Salesforce admin can do this in two ways:
For specific users: add them to an EAC configuration with emails disabled. Emails that EAC already captured stay on the activity timeline. To learn more, see Salesforce's Considerations for Disabling Emails in an Einstein Activity Capture Configuration.
For the whole org: in Salesforce Setup, go to Einstein Activity Capture > Settings and turn off the feature in the General section. EAC then stops for every user, and contacts and events stop syncing too. To learn more, see Salesforce's Enable or Disable Einstein Activity Capture.
If your org uses Activity Metrics or is migrating to Sync Email as Salesforce Activity, Salesforce asks you to contact Salesforce Customer Support to turn off EAC for the whole org, instead of turning it off yourself.
Let EAC log the emails
If your team uses EAC for everyday email, you can let it log the emails Mixmax sends too. Turn off Mixmax's email logging and keep its engagement logging:
Go to Admin Center > Roles.
Select the Role, then click the Salesforce tab.
Under Log these activities to Salesforce, uncheck Sent and Received. Keep Opened, Clicked, Downloaded, and Bounced checked.
Emails logged by EAC don't show which Sequence sent them. Engagement Tasks from Mixmax still include the Sequence name and stage, for example Opened [Sequence name (# stage)]: {subject}.
Repeat this for each Role whose members' emails EAC captures. Mixmax keeps logging engagement, meetings, and Tasks, and EAC logs the emails.
Members whose Role lets them manage their own Salesforce settings can change the same options in My Settings > CRMs & Live Feed.
FAQ
Can we use Einstein Activity Capture and Mixmax together?
Yes. Choose which one logs the emails Mixmax sends, so the same email isn't logged twice. Both setups are explained earlier in this article.
Does Einstein Activity Capture log opens, clicks, and downloads?
No. EAC captures the emails themselves, but not opens, clicks, or downloads. Mixmax logs them as engagement Tasks in both setups explained earlier in this article.
What about duplicates that are already in Salesforce?
When your org moves to Sync Email as Salesforce Activity, Salesforce can also sync each user's past emails, up to 50,000 emails from the last 180 days. Emails that Mixmax already logged can then appear twice. Mixmax doesn't change or delete activity records that EAC creates.
Does this affect orgs that don't use Einstein Activity Capture?
No. The move to Sync Email as Salesforce Activity only applies to orgs that use EAC, and how Mixmax logs to Salesforce doesn't change.
How do I know if our org uses Einstein Activity Capture?
Ask your Salesforce admin. In Salesforce Setup, orgs that use EAC can check their migration timeline in Einstein Activity Capture Settings.
