How Mixmax determines Google Calendar availability

This article explains how Mixmax determines your availability using your Google Calendar to prevent double-booking.

Calendar Enhancements and Calendars are available on all Mixmax plans, including the Free plan, but some options, like Shared calendar scheduling, are available only on the Small Business plan and above. Check out our pricing page for more information.

When you share one of your Calendars, Mixmax automatically determines your availability to prevent you from getting double-booked.

To determine if a time slot is available, we look at your Google Calendar and adjust your availability using your Mixmax meeting-type settings.

Here are the Google Calendar settings and events that affect your Mixmax availability:

Event Availability: Busy vs. Free

Mixmax avoids double-booking calendar events that are set to Busy. However, you can allow double-booking with certain events by changing their availability to Free within your Google Calendar.

This is great for events that you don’t mind scheduling over, like that Book Club you’d like an excuse to miss. To learn more, see Google Calendar’s availability settings.

All-Day Events

If you see no availability on a day when you should have availability, you likely have an all-day event scheduled. To allow booking, either delete the event or change its availability to Free (using the setting pictured above).

All-day events can be sneaky. Unlike a normal event, you won’t see them blocking off the main calendar area. Look for them to appear at the top of the day:

Your Default Calendar

By default, your public Mixmax calendar will be scheduled on your main Google account calendar. We always check this calendar’s events to prevent double booking.

For Calendars, you can change this default calendar to any of your other Google calendars. First, click on the default calendar, then select your preferred calendar from the drop-down menu.

Your Double Booking Calendars

For Meeting types, we prevent double booking on your primary calendar by default. You can add additional calendars to the Prevent Double Booking section in your Calendar settings to prevent double booking on them.

Preventing double booking

The timezone in your Calendars is determined by the primary timezone selected in your Google Calendar settings. To change the timezone in Mixmax, simply update the primary timezone in your Google Calendar.
