Creating, joining, and managing workspaces

This article describes how to create, join, leave, and manage Mixmax Workspaces, including member and subscription management.

What are workspaces

Workspaces are groups of Mixmax users who share a payment method. One or more workspace admins oversee a workspace. Admins can limit who can join their workspace, manage subscriptions, set workspace-level rules, assign workspace Roles, manage shared assets (like Sequences), and enforce Role policies.

Once set up, users on domains you authorize will be able to join your workspace with less administrative overhead and automatic asset sharing, including Templates and Sequences. This means you can focus on your business rather than administering another tool in your tech stack.

Workspace managers will receive an email when a new member joins their workspace. Users who join the workspace will be placed on a two-week free trial. When the two-week trial expires, they will automatically be moved to the paid workspace plan unless they opt out. Payment for the plan will be charged to the payment method configured in the workspace.


Joining a workspace

When someone first signs in to Mixmax, they'll be automatically added to their company's workspace (based on their email domain) if one exists.

If multiple workspaces share the same domain, the user will be prompted to join a workspace instead. Any workspaces that have been granted access to your domain will appear on the Join Workspace page. The user can also choose to create a new workspace if they don't want to join any of the existing workspaces.

If you're a new user who was automatically added to your company's workspace but would prefer to set up your own workspace, please contact Mixmax Support for assistance in setting you up on a new workspace.


Leaving a workspace

Mixmax does not currently offer a self-service option to leave a workspace. If you want to leave your current workspace, you have two options:

  • Ask your workspace admin — a workspace admin can remove you from the workspace using the trash can button on the Team members page.

  • Contact Mixmax Support — if your workspace admin is inactive or unavailable, reach out to our support team, and we'll remove you from the workspace.


Creating a workspace

If no workspace has been created by a colleague or administrator in your domain, you will be prompted to create one.

Setting up the workspace

Workspace name

This is the name other users at your allowed domains will see when they join Mixmax.

The name of the workspace can be changed by going to the 'Workspace settings' page in the 'Admin center'.


Allowed Domains

When creating a workspace, you can specify domains that can join your workspace when users at those domains sign up for Mixmax. When users at an allowed domain join Mixmax, they will see the option to join your workspace. You can allow multiple domains to join your workspace.

You can only add a domain to 'Allowed domains' if there's already at least one member from that domain in your workspace.

If there are no workspace members from that domain yet, manually invite at least one user from that domain to join your workspace. Once a user from the new domain is added, you can type the domain name in the 'Allowed domains' field to see available options.

The 'Allowed domains' can be updated by following these steps:

  1. Go to the 'Workspace settings' page in the 'Admin center'.

  2. Under the "Allowed Domains" section, add the domain you wish to include. This ensures that users from the specified domain can join the workspace, which is useful if there are multiple workspaces with users from the same domain.

  3. Click Save.

Workspace admins who want total control over who can join their workspace can enable the "Restrict workspace invitations" setting. When enabled, only workspace admins can invite new members via the Team Members page. The workspace will also not appear as an option to join when a new user with the same domain creates a new Mixmax account.


What happens when someone joins my workspace?

Workspace managers will receive an email when a new member joins their workspace.

When users join your workspace, they will automatically be placed on a two-week free trial of the highest plan in your workspace. When the two-week trial expires, they will automatically be placed on the paid version of that plan. Payment for the plan will be charged to the payment method configured in the workspace.

If there are no paid subscriptions in your workspace, users joining it will be added as admins.


Managing members of your workspace

Workspace admins can add and remove members and manage subscriptions. Workspace admins can also invite new users to a workspace, remove a user from the workspace, or make a user a workspace admin. User management is found on the Team members page, found at the bottom-left of the Mixmax Dashboard.

Workspace admins can assign users to either the Free plan or a paid plan. This is also where admins can upgrade or downgrade a user's plan.

To change a user's plan, click the 'Edit user' icon inline with their account.

The 'Edit user' pop-up will be displayed. You can then update the user's plan, role, and profile. Click Save to apply the changes.

To remove a user from your workspace, use the trash can button next to their account.

Only another admin in the same workspace can remove an existing admin, ensuring that at least one admin remains. If the sole admin wishes to leave, they should contact Mixmax Support. For other account deletion options, see this article.


Moving users between workspaces

If you try to add a user to your workspace and receive the error "The email below is already active in another workspace," it means the user is already a member of another workspace. To add this user to your workspace, they must first be removed from the other workspace. Mixmax enforces a policy that prevents users from belonging to multiple workspaces simultaneously, ensuring integrity and organization within each workspace.

Since you can only remove users from the workspace you manage, you can't move users between workspaces. Please contact our support team, and we will be happy to move a user between workspaces for you.
