Meeting summary and transcript overview
The meeting transcript page lets you review all key meeting details in one place.
After Copilot captures a meeting, you will receive an email notification summarizing the call. From the email notification, click View full meeting notes to be redirected to the meeting transcript page.
You can also go to the Meetings page and search for the specific meeting you want to view. You have the option to view all meetings you participated in, meetings you organized/hosted, or meetings shared with you:
The meeting transcript page gives you a complete view of your meeting. Participants will have access to the following:
Summary
A high-level recap of the meeting: title, purpose, decisions, and outcomes.Action Items
A list of tasks from the meeting and the owner of each task.Participants
Attendees with names/email addressesTranscript
A time-stamped transcript of the meeting. This includes speaker labels so you never get lost following the conversation. You will also see a recording of the meeting.
In the Transcript tab, you can:
Click any line in the transcript to jump to that moment in the recording.
Turn on Auto-scroll with video so the transcript follows along as the recording plays.
Only the meeting owner sees the Generate Follow-Up Email, Delete, and Share notes buttons. The owner is the person who recorded the meeting with Meeting Copilot. If someone shared a meeting with you, you can view the summary, action items, participants, and transcript, but you won't see Generate Follow-Up Email, Delete, or Share notes. To get these options, Meeting Copilot must record the meeting from your account.
How to delete the meeting summary
You can delete notes from the notes page by clicking the trash icon next to the meeting summary title.
You will be asked to confirm deletion - click "Delete" to finalize the action:
How to share notes with Meeting Copilot
Here’s how you can manage sharing preferences for your meeting summaries.
Set up automatic sharing
You can configure how notes are shared by going to My Settings > Meeting Copilot.
There, you’ll find three options:
Send to all meeting participants
Everyone who was invited to the meeting will receive a summary. Perfect for external calls where you want to keep everyone aligned.
Send only to internal participants
Only teammates in your Mixmax workspace will receive the summary. Great for internal syncs or when you want to keep external guests out of the loop while sharing notes with your team.
Send only to me
Notes won’t be shared automatically with anyone. Only you can access them.
What recipients see
When you share notes, recipients will receive an email with a summary and a link to view the full notes.
To view the full notes, they’ll be asked to verify their email address. Once verified, they can:
Read the full meeting summary.
See action items and key points.
View the full meeting transcript.
See all meeting participants.
But they cannot:
Generate a follow-up email.
Share the summary further.
Delete or edit the notes.
This ensures the meeting owner has full control and privacy.
Share notes with specific people
Want to share notes with someone later? No problem.
Open the meeting notes page.
Click the Share notes button in the top-right.
Enter who you'd like to share with. Search for teammates by name or email address. To share with someone outside your workspace, type their full email address.
You can also revoke access by clicking the trash icon next to their name, then clicking Done.
What recipients see
When you share notes, recipients will receive a notification that a meeting summary has been shared. They will also see the same tabbed view: Summary, Action Items, Participants, and Transcript.
Share notes with a link
Want to drop the notes into an email, Slack message, or doc? Copy a link instead of adding people one by one.
Open the meeting notes page.
Click the Share notes button.
In the Share meeting summary window, click Copy link.
Link sharing is turned on for that meeting, and the link is copied to your clipboard, ready to paste. Anyone you send the link to can open the meeting notes.
Share the link only with people who should be able to see the full meeting summary and transcript.
Forwarded the summary email? Forwarding the Copilot summary email doesn't give the recipient access to the full notes. They'll see an error when they click View full meeting notes. To give someone access, use Share notes or Copy link instead.
