Restricting who can join your workspace

Learn how workspace admins can use the Restrict workspace invitations setting so new members join only when an admin adds them.

Restrict workspace invitations lets workspace admins decide exactly who joins their workspace. When it's on, new members can join only when a workspace admin adds them from the Team members page, so you won't have unexpected members or pending accounts to manage.

Turning on Restrict workspace invitations

  1. Go to the 'Workspace settings' page in the 'Admin center'.

  2. Under Member Access Controls, turn on Restrict workspace invitations.

To turn it off, go back to the same page and switch the setting off.

Restrict workspace invitations is available on the Mixmax for Teams plan, and only workspace admins can change it.


What changes when it's on

  • Only admins can add new members. Workspace admins add people from the Team members page by clicking Add members.

  • Non-admins don't see invite options. The invite step during onboarding and the Invite team option in the navigation are hidden for non-admins.

  • Sidechats and Teams only include current members. Anyone can still add existing workspace members to a Sidechat or a Team, but not people outside the workspace.

  • Allowed domains is paused. New users from your domain won't join your workspace automatically or see it on the Join Workspace page, and invite links to your workspace stop working. Your Allowed domains list is saved and will take effect again if you turn the setting off.

  • Existing members aren't affected.


Adding new members while invitations are restricted

To make sure a new teammate lands in your workspace:

  1. On the Team members page, click Add members and add their work email address. For the full steps, see Inviting new members.

  2. They'll receive an email invitation from [email protected].

  3. Ask them to sign in to Mixmax with the same work email address. They'll join your workspace as soon as they sign in.

Add new teammates on the Team members page before they sign up for Mixmax, so they go straight into your workspace.


FAQ

Someone signed up before I added them. How do I get them into my workspace?

When invitations are restricted, people who sign up on their own aren't added to your workspace. They're placed in a separate workspace instead. Contact Mixmax Support, and we'll move them into your workspace.

Can members whose Role has edit access to all shareable assets invite people?

No. Only members with the Admin profile can add new members or change this setting. A Role that grants edit access to all shareable assets doesn't give admin access. To make someone a workspace admin, set their Profile to Admin on the Team members page.

Why is the Restrict workspace invitations setting grayed out?

This setting is available on the Mixmax for Teams plan. If it's grayed out, your workspace is on a different plan. Click Talk to sales to learn about your options.

Does this stop people at my company from creating their own Mixmax accounts?

No. Restrict workspace invitations controls who can join your workspace. People with your company's email domain can still sign up for Mixmax, but they won't join your workspace unless an admin adds them.

What happens when I turn the setting off?

Non-admins can invite people again, and Allowed domains returns to how it was set before you turned on the restriction.
