Setting Reminders

Learn how to set, remove, or reschedule reminders in Mixmax to save time and stay organized with email follow-ups.

You can set reminders to bring an email back to your inbox at a specific date and time if activity on the email is not recorded (such as 'if not read').

If you plan to follow up with a specific email, you can save even more time by utilizing Sequences instead. Read more in our Sequences Overview.

Set a reminder in Gmail

In the top bar of your email (under the Subject line), click or hover over the Reminders button, then set the time and trigger to activate your reminder:

You will also need to choose the conditions for receiving a reminder: if your recipient doesn't reply, if the email isn't opened, or regardless of whether they open or reply.

Set a reminder from within an active email

Hover your mouse over the Remind Me button in the top action bar, then follow the same steps as when setting a reminder when sending an email:

Set a reminder from your Inbox

From your Inbox or Sent folder, hover over the clock icon, then follow the same steps as when setting a reminder from an email:

Set a reminder in Outlook

While composing a new email or reply in Outlook, open the Mixmax side panel by clicking Apps > Mixmax in the top menu, then click Set reminder:

In Reminder settings, choose a Condition for receiving a reminder: if email was not replied, if email was not read, or regardless.

Under Date, choose how you want to set the reminder time:

  • Simple: Enter a number, then select Weekdays, Days, or Hours.

  • Presets: Select one of the preset times from your Reminders & Send Later settings.

  • Custom: Pick a date in the calendar, then choose a time.

Optionally, add Notes, then click Set reminder.

Your reminder now shows at the top of the side panel. Click the pencil icon to edit it or the trash icon to remove it:

Click Send with Mixmax to send your email with the reminder.

Use the Send with Mixmax button. If you send the email with Outlook's Send button, the reminder won't be set.

If Automatically set a reminder is turned on in your Reminders & Send Later settings, your default reminder is added as soon as you open the Mixmax side panel. You can still edit or remove it before sending.

Set a reminder from your Reminder settings

Find it in your Mixmax dashboard: My settings > Reminders & Send Later.

Remind menu options

Customize the preset times you see in your Reminder and Send Later menus. Adjust your Reminders & Send Later personal settings, or click Customize in the top-right corner of the Remind menu.

Manual reminders and Smart Follow-ups

If you use Smart Follow-ups, manual reminders always take priority. Smart Follow-ups won't add its own reminder to an email that already has a manual reminder.

Smart Follow-ups can also remind you about emails sent from your Gmail account by other outreach tools, such as Outreach, Salesloft, or Apollo. If you don't want that, turn off Smart Follow-ups in Settings > Inbox Copilot > Signals, then set manual reminders on the emails you want to follow up on.

FAQ

Can I set a reminder on an email I've already sent in Outlook?

No. In Outlook, you can only set a reminder while composing an email, before you click Send with Mixmax.
