Learn how to use variables, including fallback and Salesforce variables, in Mixmax Calendars to automate your scheduling process.

When you create a Calendar, you can use variables within your Default Event Details, which include:

  • Title

  • Where (Event location)

  • Description

Fallback variables

Variables used in Calendar Default Event Details will require a fallback variable. It ensures that your variable will be filled even if you don't have data for a specific contact. A fallback variable includes the pipe character | followed by fallback: and your fallback text before the closing brackets. For the variables that require fallback, |fallback: is added automatically.

Example: You can use {{meeting location | fallback: your office}} to send the meeting location if you have data for that field or "your office" if you don't.

Which variables can I use?

All Calendar variables, liquid markup advanced variables, and Salesforce variables can be used in Calendars. To add a variable, click the variable button to the right of each field or type {{ to open the variable menu. When using Calendar variables, "Host" refers to the calendar owner on which the meeting was booked, and "Guest" refers to the recipient booking the meeting.

Host variables

Variable information, such as names, is filled in using information from your contacts. If you do not have the information needed to fill the variable in your contacts, your fallback variable will be used.


Host Location variable

Use a variable in the Location section to automatically use the default location settings for the host. When you add the variable {{host location}} in the Where field, Mixmax will automatically insert the host's default calendar location settings when the meeting gets scheduled. This field will also support a fallback option if a default location is not set up. To add a fallback, check that | fallback: is added after your variable and insert the fallback text. For example, {{host location | fallback: video call to be added}}.

It is particularly useful if you use Calendars to set up different round-robin calendars. Each meeting you're scheduling might correspond to a different person with a unique link or phone number they'd like to use.

When you insert your Calendar link or use the /meeting command, the correct host details will automatically be filled in. If the particular host does not have a default location, the fallback will be included, or the field will be left blank if no fallback exists when that Calendar is used.

Each user can set the default location in their Mixmax Calendar settings.

The list of Salesforce variables you could use is extensive. You can view all options in your CRMs & Live Feed settings under Visible fields. You'll know it when you see it because you've never seen a list so long!

Automation Variables

Automation in Calendars allows you to schedule a message to remind guests before the meeting. In addition to the variables above, you can use the following variables in your automated reminder:

  • {{meeting time}}

  • {{meeting title}}

  • {{meeting location}}

  • {{meeting description}}

  • {{time to meeting}}
