Variables in Meeting Templates

Learn how to use variables, including fallback and Salesforce variables, in Mixmax Meeting Templates to automate your scheduling process.

Updated over a week ago

Meeting Templates automation is available on the Mixmax Small Business plan and above. Check out our pricing page for more information.

When you create a Meeting Template, you can use variables within your Default Event Details, which include:

  • Title

  • Where (Event location)

  • Description

Fallback variables

Variables used in Meeting Template Default Event Details will require a fallback variable. This ensures that even if you don't have data for a specific contact, your variable will be filled. A fallback variable includes the pipe character | followed by fallback: and your fallback text before the closing brackets. For the variables that require fallback, |fallback: is added automatically.

Example: You can use {{meeting location |fallback: your office}} to send the meeting location if you have data for that field or "your office" if you don't.

You can read more about fallback variables in our article: Using Advanced Variables (Liquid Markup).

Which variables can I use?

All template variables, liquid markup advanced variables, and Salesforce variables can be used in Meeting Templates. To add a variable, click the variable button to the right of each field or type {{ to open the variable menu. When using Meeting Template variables, "Host" refers to the owner of the calendar the meeting was booked on, and "Guest" refers to the recipient who is booking the meeting.

Host variables

Variable information, such as names, is filled in using information from your contacts. If you do not have the information needed to fill the variable in your contacts, your fallback variable will be used.

Host Location variable

Use a variable in the Location section to automatically use the default location settings for the meeting host. When you add the variable {{host location}} in the Where field, Mixmax will automatically insert the host's default calendar location settings when the meeting gets scheduled. This field will also support a fallback option in case one or more of the hosts do not have a default location set up. To add a fallback, check that |fallback: is added after your variable and insert the fallback text. For example, {{host location | fallback: video call to be added}}.

Variables in the Where field

This is particularly useful if you are using Meeting Templates to set up different round-robin calendars. Each calendar you're scheduling on might correspond to a different person with a unique meeting link or phone number they'd like to use for meetings.

When you insert your Meeting Template link or use the /meeting command, the correct host details will automatically fill in. If the particular host does not have a default location set up, the fallback will be included, or the field will be left blank if no fallback exists when that Meeting Template is used.

The default location can be set for each user in their Mixmax Calendar settings.

Salesforce Variables

The list of Salesforce variables you could use is extensive. You can view all possible options in your CRMs & Live Feed settings under Visible fields. You'll know it when you see it because you've never seen a list so long!

Automation Variables

Automation in Meeting Templates allows you to schedule a message to remind guests before the meeting. In addition to the variables above, you can use the following variables in your automated reminder:

  • {{meeting time}}

  • {{meeting title}}

  • {{meeting location}}

  • {{meeting description}}

  • {{time to meeting}}

We'll be adding more variable support to Meeting Templates soon - get in touch with our support team and let us know what else you'd like to see.
