Automatically update the Salesforce Contact/Lead status when a meeting is booked

Here's a great example of a workflow automation that would save your Sales team time.

If you connect Salesforce to your Mixmax account, you can use Mixmax Rules to build workflow automation that will update the status of a Lead or Contact someone books a meeting with you.

Requirements:

  1. Mixmax Salesforce Rules are only available on the Enterprise plan. Please contact our Sales team to upgrade or request a demo.

Creating your Rule

  • For individuals, go to the Rules section on your account and click +New Rule.

  • If you're a Workspace Admin and would like to configure this workflow for your entire team, go to the Rules tab in the Admin settings section and click New Rule.

Next, enter a title for your rule.

Each Mixmax Rule has 3 steps: Trigger, Filter, and Action.

Trigger

  1. For the Rule trigger, select Meeting.

2. Select Meeting is confirmed and click Continue.

Next, you can specify the conditions when the Rule should be triggered. For example, you can select one or several specific Calendars to which you want this automation to apply.

  1. First, click Add Condition.

2. Next to Guest (email), click the dropdown to select Calendar from the menu.

3. Select one or several required Calendars from the drop-down list. To look for the Calendar you need, start typing in the Search field.

4. Click Add condition again to add other filters if required.

If you wish to select multiple conditions, each of which should trigger this automation, change the filter logic to If ANY of the following are true.

5. Click Continue when you are done adding filters.

Finally, set up what should happen once the Rule is triggered.

  1. For our example, select Salesforce from the action app options.

2. In the next window, select Update the related Lead and click Continue.

3. Search and select the Status field, then click Add field.

4. In the drop-down list under Status, select the appropriate status to update the field to and click Activate & Close. Your Rule is good to go!

To update a Contact record from the same rule, click Add action, then follow the same steps as above after clicking Update the related Contact.
