To make sure you stay on top of correspondence with your customers and spend your time most efficiently, you can use Mixmax Rules to build workflow automation that will send a Slack notification so you know at once if someone emails you 30 minutes before your scheduled meeting with them or during the meeting.
Creating your Rule
Next, enter a title for your rule.
Each Mixmax Rule has 3 steps: Trigger, Filter, and Action.
Trigger
For the Rule trigger, first, select Email.
Next, select I receive an email and click Continue.
Filter
Next, you can specify the conditions when the Rule should be triggered.
First, click Add Condition.
Next to From (email), click the dropdown to select I'm scheduled to meet with them from the menu.
Please note that the "I'm scheduled to meet with them" filter is currently not supported for Outlook-based users.
Next, enter the required period of time before the meeting in days, hours, or minutes. In our example, that would be 30 minutes.
Click Add condition again to add other conditions if required. For example, you might want to be notified only if the email is an auto-reply notification or comes from a certain recipient.
If you wish to select multiple filters, each of which should trigger this automation, change the filter logic to If ANY of the following are true.
Click Continue when you are done adding filters.
Action
For your action, select Slack from the options.
In the next window, select Send channel message and click Continue.
Next, select the Slack channel where you wish to send the notification from the drop-down menu. To search for a specific channel, simply start typing the name of the channel.
There is a known limitation in Slack; listing all channels can occur max. 20 times per minute per Workspace. If this limit is reached, you might be prompted to manually specify the Slack channel ID. You can find the channel ID in Slack, as shown in the image below, and copy-paste it from there:
You can also customize the message using the {{name}}
, {{email}}
, {{sender name}}
, and {{sender first name}}
variables, adding a random celebratory GIF, and choosing a card color for the message.
When you are done, click Activate & Close. Your Rule is good to go!
