What is Meeting Prep?
Meeting Prep is an AI-powered feature that sends you a personalized meeting preparation email 24 hours before your meeting (or immediately if the meeting is scheduled sooner).
Instead of scrambling through emails, notes, and past meetings, you get everything you need in one place—without extra work.
How to turn on Meeting Prep
To start receiving Meeting Prep emails, go to My Settings > Meeting Copilot and switch on the Meeting Prep toggle at the bottom of the page.
Once it's on, you'll receive Meeting Prep emails for your upcoming meetings with external participants.
Who is Meeting Prep for?
Meeting Prep is designed for customer-facing sales meetings, such as:
Discovery calls
Demos
Check-ins
Closing conversations
Internal-only meetings do not typically trigger Meeting Prep.
Note: Meeting Prep is available only to Gmail users.

Participants – Who’s attending

Relevant conversation context – Key insights from past emails and meetings
This is based on your previous interactions with the prospect.
How it works
A meeting with an external participant is scheduled
24 hours before the meeting, Meeting Prep automatically triggers
If the meeting is scheduled less than 24 hours away, the prep is sent immediately
AI reviews your available context, including:
Past meetings
Email conversations sent through Mixmax
A comprehensive prep email is sent to your inbox
You review, prepare, and walk into the meeting with confidence

When will I receive Meeting Prep?
You’ll receive your Meeting Prep email 24 hours before the scheduled meeting.
If the meeting is scheduled less than 24 hours in advance, we send the prep immediately.
What meetings trigger Meeting Prep?
Meeting Prep is generated for meetings that include external participants (anyone outside your company).
Internal-only meetings do not usually trigger Meeting Prep.
Note: Some workspaces may see exceptions due to domain configurations. If you notice unexpected behavior, contact our support team.
Why am I not receiving Meeting Prep emails?
Make sure the Meeting Prep toggle is switched on in My Settings > Meeting Copilot. Also keep in mind that Meeting Prep is only sent for meetings with external participants, and it's available to Gmail users only.
Can I customize what’s included?
Not yet. Meeting Prep uses a standard format optimized for sales conversations.
We plan to offer more flexibility in future versions.
What if something looks incorrect?
We recommend reviewing the prep and using your judgment before the meeting. Send us your feedback; it helps us improve.
Does Meeting Prep integrate with my CRM?
Meeting Prep pulls context directly from Mixmax emails and meeting transcripts, so you don’t have to open multiple tools to prepare.
