How to configure a daily email Send Limit for Sequences

This article describes how to set a daily Send Limit for Sequence email stages and how Mixmax handles emails once the limit is reached.

The Daily Send Limit enables admins to set more stringent controls on the number of emails a user can send via sequences in a single day. Mixmax will automatically reschedule a user's sequence emails to the next available day using a rescheduling algorithm once they have reached the Daily Send Limit. This setting will prevent users from exceeding Gmail or Outlook's daily sending limit, thereby helping to prevent them from getting locked out of their Gmail/Outlook account.

The Daily Send Limit, configurable from 100 to 1,000, allows users to reprioritize rescheduled sequence emails in their Outbox.

If you activate a large number of sequence emails in your Mixmax, this feature is for you.


Daily Send Limit setting

The Daily Send Limit sets a maximum number of sequence emails that can be sent by a single user email address within a calendar day. Workspace administrators can adjust the number of sequence emails Mixmax will send per day using the Daily Send Limit setting. This setting can be found by navigating to the 'Admin center' and clicking 'Workspace settings'.

Administrators can also prevent automatically scheduled emails from being sent on weekends by using the 'Allow emails to be sent on weekends' checkbox.

Daily send limit

The Daily Send Limit setting only applies to bulk emails sent with Sequences. Other methods of sending or scheduling emails are not considered bulk and are considered time-sensitive. Emails sent or scheduled outside of Sequences are exempt from daily send limits and will be sent at their originally scheduled time.

Recipients in CC and BCC are not counted in the Daily Send Limit.

Workspace administrators should be aware that this setting applies to all Workspace members. Each Workspace member can send sequence emails up to the daily send limit.


What happens if you try to send more than your daily limit?

If you try to send more sequence emails than your daily limit allows on a given day, Mixmax will automatically reschedule the emails across multiple days. For example, if your daily send limit is 10 and you add 15 recipients to sequences, Mixmax will schedule 10 emails to send today and 5 to send on the next available day.

While activating your sequence, you will be notified if the number of recipients you are activating causes you to exceed your daily send limit for that day.

Sequence emails that Mixmax automatically reschedules will display a 'Postponed' message in the Outbox and on your Sequence report, indicating the number of days the email was postponed.

How can I reschedule emails that Mixmax scheduled?

Emails scheduled by Mixmax can be rescheduled using the Mixmax Outbox.

For Outlook-based users, only scheduled sequences can currently be rescheduled in the Outbox. To learn more about the Mixmax integration with Outlook, check out How to use Outlook with Mixmax.

From the Mixmax Outbox, place a check mark next to the emails you want to reschedule:

Click the Reschedule button to select a new date or send window:

When Sequence emails are paused, canceled, or rescheduled for later, Mixmax will automatically move other postponed emails back into the queue to fill the spot and meet your daily send limit. If a recipient exits your sequence, a postponed email will be rescheduled to replace it. An email that is moved back will never get rescheduled before its original scheduled date.

I have multiple logins to Mixmax. How does the Daily Send Limit get applied?

The Daily Send Limit is applied to the account used to log in to Mixmax. Google aliases are not counted separately from the Google account they are linked to.

I am a delegated sender. How does this affect my Daily Sent Limit?

The Daily Send Limit is set per account. For example, my Mixmax login is [email protected]. A colleague, [email protected], has authorized me to send on their behalf via delegated sending, and we are a part of the same workspace. The Daily Send Limit for the workspace is 250. I can send up to 500 sequence emails, as long as I stay within the 250-per-user limit.

Why is the max threshold 1,000? How does this limit affect non-sequence emails?

Google has a daily sending limit of 2,000 in a 24-hour rolling period. We set a max of 1,000 for the Daily Send Limit, so there is enough room in your Google sending limit to send time-sensitive non-bulk emails, such as manual emails, Send Later emails & emails triggered by rule actions. By keeping the max threshold at 1,000, you avoid hitting your daily sending limit.

How does Mixmax determine which message to send?

What types of emails does the Daily Send Limit affect?

The Daily Send Limit and rescheduling algorithm only apply to emails sent via sequences. Non-bulk emails such as manual emails, Send Later emails & emails triggered by rule actions will not be affected.

Can I turn off my Daily Send Limit?

The Daily Send Limit setting is applied to every Workspace, and you cannot turn it off. By default, we set each new Workspace to 500. You can increase this to 1,000 to send more sequence emails in a single day.

What is considered a day in Mixmax?

Daily Send Limits are based on calendar days. The boundaries for when a day starts and ends are based on the time zone of your browser when you first signed in to Mixmax.

Gmail rate-limiting

What are the scenarios in which rate-limiting can still occur?

There are a few cases that could potentially cause users to be still rate-limited:

Rolling 24-hour window vs. Daily Limit

Google evaluates sending thresholds on a rolling 24-hour window period. Mixmax will determine the sending threshold within a 24-hour day based on the user's timezone. A user could be rate-limited if their rolling 24-hour window quota exceeds Google's limits. For example, I might have 1,000 emails scheduled to be sent on December 17th, CT. I have them scheduled to be sent at 11:30 p.m. CT. I also have 1,000 emails scheduled to be sent at 12 a.m. CT on December 18th. This could trigger a rate-limiting error.

Rate of emails sent

For this version, we are not addressing spacing between emails sent around the same time (e.g., the rate at which we send emails in a given time period). For example, you can have a daily rate limit of 1,000 but have all 1,000 scheduled to go out at 10 a.m. CT. This could cause an account to be rate-limited because Google flags high-volume email sent in a very short period.

Bulk & non-bulk emails exceed Gmail Rate limits

We have set a max Daily Limit of 1,000 emails per day. Google's threshold is 2,000 in a rolling 24-hour period. We have set the limit to 1,000 so that all non-bulk emails can be sent at their originally scheduled times. A user could reach the rate limit if their non-bulk emails exceed 1,000, and they have 1,000 emails scheduled for the day. Currently, the most likely way for this to happen is if they have a send-an-email rule configured.

Daily send limit for Outlook-based users

Currently, the daily send limit is configured in your Workspace settings. Please note that Mixmax will not allow exceeding Microsoft's daily send limit.
