How are Sequence emails scheduled and prioritized?

This article explores factors that influence how Mixmax determines which emails should be sent first.

When activating a sequence, if you attempt to send more emails than your Daily limit allows, Mixmax will automatically reschedule emails across multiple days. Mixmax determines which emails should be sent first based on several factors, as outlined below:

1. Manually rescheduled emails are treated with the highest priority.

Emails you manually reschedule via the Outbox will be prioritized first.

2. The stage of the Sequence: Emails in later sequence stages get higher priority over emails in earlier stages.

Example: [email protected] is in Stage 2 of Sequence B, and [email protected] is in Stage 3 of Sequence B. If both emails are considered for the same day, Jill's email will be prioritized over Bob's because Jill is in Stage 3 while Bob is in Stage 2.

3. The number of days the recipient is in the Sequence: Recipients who have been active in a sequence longer are prioritized above recipients who have been active in a sequence for less time.

Example: [email protected] was added to a sequence 5 days ago, and [email protected] was added 3 days ago. If both emails are being considered for the same day, Sarah's emails will be prioritized because she has been active in the sequence longer than Steven.

4. The scheduled send window: Emails with an earlier sending window get higher priority.

Example: Sequence A has a send window of 8:00 am - 3:00 pm. Sequence B has a 10:00 am - 4:00 pm send window. If emails from both sequences are being considered for the same day, Sequence A will be prioritized because it has an earlier send window.

5. When the recipient was added: Recipient emails are prioritized based on which recipient is added to the sequence first.

Example: [email protected] was added to a sequence, and 1 hour later, [email protected] was added to a sequence. If both emails are being considered for the same day, Bill's email will be prioritized because he was added to the sequence first.

6. Position of the recipient in the list: Recipients higher in the list have priority over recipients that are lower in the list.

Example: A CSV file containing recipient information is uploaded to a sequence. [email protected] is on row 5 of the CSV file. [email protected] is listed on row 30 of the CSV file. Lindsey's email will be prioritized since Lindsey has a higher position on the list.


How can I reschedule emails that Mixmax scheduled?

Emails scheduled by Mixmax can be rescheduled using the Mixmax Outbox.

For Outlook-based users, only scheduled sequences can currently be rescheduled in the Outbox. To learn more about the Mixmax integration with Outlook, check out How to use Outlook with Mixmax.

From the Mixmax Outbox, place a check mark next to the emails you want to reschedule:

Select the emails to be rescheduled

Click the Reschedule button to select a new date or send window:

Click the Reschedule button

Click the Done button to save the changes:

When Sequence emails are paused, canceled, or rescheduled for later, Mixmax will automatically move other postponed emails back into the queue to fill the spot and meet your daily send limit. If a recipient exits your sequence, a postponed email will be rescheduled to take its place. An email that is moved back will never get rescheduled before its original scheduled date.
