How to add automated emails to your Sequence

This article describes how you can add personalized automated email stages to Sequences and set conditions for sending them.

Adding automated email stages to your sequences is a great way to reduce manual work while ensuring you're still reaching out to your customers and prospects. Automated email stages will be sent based on the conditions you set, and you can even personalize them before you set them to boost engagement!

Adding an automated email stage to your sequence

To add an automated email stage

  1. Click + Add stage.

  2. Select "Send automated email" as the stage type.

Once you've added the stage, configure your automated email settings:

1. Select the wait period in weekdays, days, or hours after the previous stage executes before your newly added automated email will be sent. For example, if you select 3 weekdays, the automated email will be sent 3 weekdays after the previous stage.

2. Select the condition under which the email will be sent.


If the previous stage is another automated email, you can configure the email to send based on whether the previous email was read, opened, or regardless (i.e., if the email received no interaction).

If the previous stage is a task, you can configure to send the automated stage ONLY after the previous stage is completed or regardless of whether the task was completed. If you select to send the stage only if the previous task is completed, recipients will not proceed in the sequence unless you complete the task.

3. Select the sending time frame for your automated email.

This is the timeframe within which automated emails can be sent. Select the time frame when your recipients will most likely be active and reading emails. By default, 8 AM to 8 PM in your time zone will be selected, but you can personalize this for each recipient.

If emails are automatically rescheduled due to reaching the daily send limit, they will be rescheduled to comply with the time frame you select here.

This setting does not apply to the first stage of a sequence; you will select the sending time when you add recipients.

4. Select whether to send the email as a reply to the previous email.

When sending a sequence with multiple stages, you can send each stage as an independent email or a reply. By default, "as a reply" will be turned on.

When you send sequence stages as replies, the emails will appear as a thread in your recipient's inbox. This will also add "Re:" to the subject line.

When your recipient replies to the email, their response will appear above the body of both/all emails sent in the sequence.

This setting does not apply to the first email stage of a sequence.

Editing the content of your automated email stage

Once you've configured the settings for your stage, you can set up the content of the email itself.

For each automated email, you can configure:

1. The Sender of the sequence. By default, the email you used to sign up for Mixmax will be used.

If you have an alias email configured, you can also use your alias. If you would like to send the email on behalf of another user, you can set up delegated sending.

2. The subject and content of your email. You can start from scratch or use an email template.

3. You can jazz up your emails with Mixmax enhancements.

4. You can also add variables like {{first name}} or {{sfdc account name}} to automate personalization at scale.

Inserting variables

To add a variable, either click Insert variables to select one of the preexisting variables or add any custom variable with {{variable}}.

Example: If you want to customize your emails with each recipient's name, you can start your email with "Hi {{first name}}."

You can insert the data you want for each recipient you add. For example, you can add each recipient's first name, and when you send the email, each variable will resolve to the correct first name entered for each recipient.

Sending yourself a test email

Once you're happy with how your email looks, you can send a test email to make sure your sequence stage works as you'd like and preview the content. To test your sequence stage, click the Send test email button at the bottom of the stage window.

The email will be sent to your default email, and any variables will either use fallbacks or the data for the first recipient you add (if any).
